Position Overview
Catholics for Catholics is seeking a highly organized, detail-oriented, and mission-driven Executive Assistant to provide comprehensive administrative, organizational, and communication support to the President and Media Director. This role is essential to the smooth daily operation of the organization and requires discretion, professionalism, responsiveness, and the ability to manage multiple priorities efficiently.
The Executive Assistant will manage schedules, communications, donor and supporter assistance, internal tracking, and coordination across departments, while also supporting media and public relations efforts as needed. This position is dynamic and may evolve to include additional responsibilities aligned with organizational needs.
Key Responsibilities
Executive & Administrative Support
– Manage and maintain the President’s calendar, agenda, and scheduling
– Coordinate meetings, prepare agendas, take notes, and follow up on action items – Attend meetings as required and assist with reports and documentation
– Handle bookings, travel arrangements, and logistics
Operations & Financial Tracking
– Track invoices, payments, and basic financial records
– Maintain organized filing systems (digital and physical) – Assist with internal reporting and documentation
Donor & Supporter Relations
– Provide assistance and communication support to donors and supporters – Help manage donor correspondence and follow-ups
– Coordinate scheduling and communications related to donor engagement
Communications, PR & Media Support
– Support the Media Director with event coordination and logistics
– Assist with email marketing efforts, including scheduling and list coordination
– Help draft and distribute press releases, announcements, and internal communications – Coordinate communications related to events, campaigns, and public initiatives
General Support
– Serve as a central point of communication across departments
– Anticipate organizational needs and proactively address priorities
– Perform additional tasks and projects as assigned to support the mission

– Excellent written and verbal communication skills
– Highly responsive, reliable, and responsible
– Ability to multitask and prioritize in a fast-paced environment
– Discretion and professionalism in handling sensitive and confidential information – Ability to work independently and collaboratively

Preferred Experience
– Experience as an executive assistant or in nonprofit administration
– Familiarity with donor relations, email marketing, PR, or media coordination – Experience supporting events, communications, or outreach initiatives
– Social media management
